Program Support Asst (OA)

Provides administrative coordination for the management of the training programs. Ensures that policies for the residency training programs are carried out. Provides administrative coordination and the day-to-day operations of the residency/ training programs among the offices of the Associate Chief of Staff for Academic Affiliations, Education Service Line (MCSL) at the VAMC, the program directors at the Salem VAMC, and the Program Directors at Carilion Clinic-Virginia Tech Carilion (CC-VTC) (internal medicine, family medicine, and the various fellowship programs) and Lewis Gale Hospital-Montgomery (LGHM), and the medical schools to ensure a well-functioning medical education program. Interprets and applies regulations and procedures concerning residency/training programs. Collects, reviews, and screens all applications and supporting documentation for residency programs based on Program Directors' guidelines. Researches, and analyzes data for the preparation of reports required by education. Assists program directors and associate program directors in the development of recruitment strategy. Handles all correspondence from candidates. Maintains applicant files, assists in ranking, and prepares rank order list for submission to the National Residency Match Program. Coordinates the Internal Medicine In-Training Examination by submission of applications to the American Board of Internal Medicine (ABIM) for each resident, payment of testing, arrangements for testing rooms, meals, and acts as assistant proctor for administration of exams. Serves as liaison between resident, legal representative, and hospital administration regarding visa procurement for foreign medical graduates seeking position in the training program. Identifies problems and makes recommendations in administrative coordination of training programs and recommends alternative courses of action to ensure efficiency, economy, and balance in the operation of the training programs. Assists in the research efforts of students/residents/fellows by coordinating, as needed, the submission of research abstracts to local and national research competitions. Receives and processes incoming and outgoing correspondence, reports, and computer information. Establishes protocols for incoming data, retrieves computerized data, and organizes data. Reviews all materials in relation to need for follow-up actions and general information. Establishes priorities on verbal and written communication requests from various Veterans Affairs offices and private health care facilities. Composes and prepares correspondence and reports. Prepares and submits necessary paperwork for without compensation (WOC) appointments of residents/students/fellows and requests housing as necessary. Maintains automated system of program-specific data to track items such as performance tracking of residents and student's attendance etc. Responsible for the coordination of the weekly on-call schedule for the medical students and residents. The work is sedentary. Typically, the employee sits comfortably to do the work. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
